RULES & REGULATIONS

RULES

  1. BE RESPECTFUL
    No harassing, aggressive, negative or disrespectful behavior with vendors, customers or event staff will be tolerated. Vendors are expected to act professionally and treat others with respect at all times, no exceptions. The event coordinator reserves the right to dismiss a vendor for any behavior they deem unacceptable.
    NO REFUNDS WILL BE GIVEN TO VENDORS DISMISSED DUE TO BEHAVIOR.

  2. NO SMOKING
    Vaping, cigars, cigarettes and chewing tobacco are prohibited in the event area. Smokers must abide by all rules enforced by the event venue. 

  3. SET UP
    Set up times will be listed on the application, please do not arrive prior to that time. Vendors are expected to be present for the entirety of the event, and vendors arriving after the event starts will not be permitted to set up. 

  4. BREAKDOWN
    Vendors are expected to be out within one hour after the event ends. Vendors are not permitted to tear down earlier than the end of the event. Tearing down prior to the end time of the event without the approval of the event coordinator may result in the vendor being asked to not return.

  5. KEEP IT CLEAN
    Vendors are responsible for keeping their booth space clean during the event, and for picking up all of their belongings and waste at the end. Food vendors may not use the garbage cans in the event area to dispose of waste. Vendors who leave a mess may incur a $25 Clean Up fee that will need to be paid prior to applying to another Collective event.

  6. PRODUCTS
    Products not listed in your vendor application must be approved by the event coordinator prior to the event. event staff will ask that any unapproved items be put away for the entirety of the event. 

  7. HEALTH DEPARTMENT
    All applicable vendors are responsible for obtaining all necessary licenses and permits required by the local county Health Department, as well as adhering to their rules and regulations. Failure to do so will result in expulsion from the event.

  8. VENDOR PAYMENT & FEES
    Failure to make payment by the due date without prior approval from event staff will result in a $25 late fee for vendors. Failure to make payment after 1 week of your due date will result in losing your space. Your late fee will stay attached to your account indefinitely and must be paid before you apply to participate in another event hosted by The Collective.

POLICIES & PROCEDURES

ELIGIBILITY TO SELL

The event coordinator must approve ALL products.

ALL VENDORS MUST CARRY INSURANCE

Lessee will maintain and show proof of liability insurance in a minimum amount of $1,000,000 aggregate, $500,000 per occurrence and The Collective shall be named as an additional insured for any act or occurrence resulting from the vendor, its employees, agents or assigns. A copy of the policy shall be provided to The Collective via email to events@thecollectivein.com.

If this information is not provided by the due date list on the application, a $25 late fee will be applied to the vendor’s account. Your late fee will stay attached to your account indefinitely and must be paid before you apply to participate in another event hosted by The Collective.

NOTE - The Collective Group, LLC must be listed as additionally insured on all policies

SELLING REGULATIONS

  • The collection of Indiana State sales tax is the responsibility of the seller

VENDOR SET UP & DISPLAY

Vendors must furnish their own tables, chairs, drop-cloths, display arrangements, etc., as they will not be supplied by the event. Displays must look professional & polished at all times. Floor length table coverings are required, and a sign with your business name as well as clear pricing must be displayed at all times. 

Vendor spaces are not transferable. All vendors will be assigned a market space before the market starts. Vendor relocation may be approved at the discretion of the event staff.

ATTENDANCE

NO CALL / NO SHOWS ARE UNACCEPTABLE. Failure to let event staff know you will not be attending before the start of event set-up will result in a $100 no call / no show fee that will be attached to your account. Your late fee will stay attached to your account indefinitely and must be paid before you apply to participate in another event hosted by The Collective or Farmed & Forged.

TARDINESS

All vendors must be at the event with their vehicles in the designated parking area no later than 30 minutes prior to the event start time. Vendors who arrive late will have a $25 late fee applied to their account. The late fee will stay attached to their account indefinitely and must be paid before they apply to participate in another event hosted by The Collective. Vendors must be set up and ready to sell no later than 15 minutes prior to the start of the event. Vendors who arrive after the start of the event will NOT be permitted to set up.

WEATHER

Our events/events are rain or shine, and vendors are expected to attend, barring severe weather. 

Storms / Wind

In the event the forecast is showing a 50% or higher chance of severe weather for an outdoor event, the decision to cancel the event will be made by the event coordinator the morning of the event. If there is a 75% chance or higher of severe weather by 1 hour prior to setup time the morning of, the event will automatically be canceled, or postponed for later that day depending on the forecast. While we never want to cancel an event, safety is our top priority.

Extreme Heat

If the heat index is anticipated to be 95 degrees or above, the event will run on shortened hours. If the heat index is anticipated to be 100 degrees or above, the event coordinator will make the decision to cancel or shorten the event. If the heat index is anticipated to be 105 degrees or above, the event will automatically be canceled. 

Air Quality

If the air quality is deemed unsafe, the event coordinator will make the decision to either shorten or cancel the event.

Road Conditions

In the event the roads are deemed unsafe to drive (ie- State of Emergency for snow) the event will automatically be canceled. 

NO REFUNDS OR CREDITS WILL BE GIVEN FOR CANCELLATIONS DUE TO WEATHER.
